This method allows you to select the appointments to include in a file without using the automatic triggers from the Medesync integration.
Create a custom report in Medesync
To export an appointment file from Medesync, you must create a custom report containing the information required for your sendings in InputKit.
To create the report:
Log in to Medesync.
Go to the “Management” tab.
Under “Organization Settings”, click “Custom Reports”.
Click “Add” to create a new report.
Under “Report Type”, select “Appointments”.
Under “Description”, enter “InputKit Appointments”.
You can then configure the report fields and filters.
Configure the report fields
In the “Available Fields” section, add the information required to identify patients and their appointments.
Patient information
Add the following fields:
Patient – First Name
Patient – Last Name
Patient – Email
Patient – Phone Number
Patient – Language
Appointment information
Also add the following fields:
Appointment – Date
Appointment – Professional Name
Appointment – Location
This information will allow you to identify the patients associated with the exported appointments and prepare the file for import into InputKit.
Add report filters
Filters allow you to select which appointments should be included in the report based on their status and date.
In the “Filter data based on criteria” section, click the green “+” icon to add a filter.
1. Filter confirmed appointments
This filter allows you to exclude appointments that do not match the desired confirmation status.
Configure the filter using the following settings:
Field: Appointment – Confirmation
Operation: Contains
Value: confirmed
Then click “OK” to save the filter.
2. Add a start date filter
This filter determines the date from which appointments should be included in the report.
Add a new filter using the following settings:
Field: Appointment – Date
Operation: Greater than
Value: Select a date
Then select “Prompt when printing” so you can choose the start date each time you export the report.
Click “OK” to save the filter.
3. Add an end date filter
This filter determines the date up to which appointments should be included in the report.
Add a new filter using the following settings:
Field: Appointment – Date
Operation: Less than
Value: Select a date
Also select “Prompt when printing” so you can choose the end date each time you export the report.
Click “OK” to save the filter.
Once all three filters are configured, click “Save” to save your custom report.
Generate and download the report
Once your custom report has been saved, you can use it to export your appointments for a specific period.
To generate the report:
In Medesync, go to the “Print” tab.
Under “Custom Reports”, select “InputKit Appointments”.
Select the desired period using the date filters configured previously.
Click “OK” to generate the report.
Click “Download” to save the file to your computer.
The downloaded report contains the appointment information matching the selected criteria.
You can reuse the same custom report for future exports by simply selecting a new date range.
Import the report into InputKit
Once the file has been downloaded from Medesync, you can import it into InputKit to perform a mass sending.
To get started:
Log in to InputKit.
Go to “Feedback”, then “Sendings”.
Click “Mass Sending”.
Select the sequence you want to send.
Follow the import steps to upload your file, map the columns, and schedule the sending.
