How to Export or Delete a Client’s or Patient’s Personal Data

When a client or patient asks to receive a copy of their personal information or have it deleted, InputKit allows you to export or delete their data directly from the platform.

Each request is also saved in a history so you can keep a record of the actions that were performed.

Good to know: deleting personal data is different from deleting a response. If you only want to remove a response from the “Responses” list, for example a response submitted by mistake, see this article instead:

Access a client’s personal data

  1. Click your name in the top-right corner, then click “Settings”.

  2. Under the Customer and Organization Management settings, click “Customer Management”.

  3. Search for the client using their name, email address, or phone number.

  4. Open the customer’s profile.

  5. Scroll down to the “Personal Data” section.

Export a client’s data

To obtain a copy of the personal information associated with the client:

  1. Click “Export Data”.

  2. Confirm the request.

  3. Download the generated file.

Tip: Send the file to the client or patient using a secure method, since it contains personal information.

Delete a client’s data

To delete the personal information associated with the client:

  1. Click “Delete Data”.

  2. Carefully read the warning message.

  3. Confirm the deletion.

Warning: deleting data is irreversible. Once the request is confirmed, the client’s or patient’s personal information cannot be recovered.

Before confirming the deletion, keep the following in mind:

  • deleting the data may affect your statistics, for example your average NPS, if the client’s responses are removed;

  • if your sendings are automated through an integration, the client could receive a new sequence after a future appointment if they are still present in your other software;

  • remember to process the request in your other systems as well, for example your appointment scheduling software, when applicable.

Tip: If you are not sure whether you want to delete the data, start by exporting it so you can keep a copy for the client or patient.

Review the request history

The history allows you to keep a record of all export and deletion requests made in your account.

It appears below the “Personal Data” section.

You can view:

  • the date of the request;

  • the type of request, either export or deletion;

  • the user who made the request;

  • the status of the request.

Who can make these requests?

Depending on your account and user role, exporting and deleting data may be restricted to company administrators or managers.
