Email step

Learn how to edit different parts of the email sent to your clients.

Several elements can be adjusted in the email step of a sequence. This article includes guides to help you update each element available in the email step.

This is where you can edit or preview the email that will be sent to your clients, meaning the introduction to the survey. You can update different elements such as the header image, sender name, email content, and more. This is also where you can preview the email content that you send with your satisfaction surveys.

To access this step:

  1. Click “Feedback” in the left menu, then select the “Sequences” tab.

  2. Click the sequence you want to edit.à

  3. Click the “Email” step.

You can make changes under “Email Survey Configuration” and preview them on the right under “Email Preview”.

You can also preview an example that matches specific conditions by clicking “Shortcode Simulation” (specific client/employee, location, service, etc.).

You can send yourself a test email to review the message. To do so, scroll down in the preview, enter your email address under “Test Email Address”, then click “Send Test”.

How to add a header image

To add a header image, click “Add Image”.

You will then be able to view your image gallery or upload a new one. You can drag and drop an image or select it from your files.

Email sender name

This is the name the client will see when they receive the email (for example, Guillaume from InputKit).

Tip: Use the first name of someone in your business who will not be evaluated in satisfaction surveys.

To edit the sender name, locate “Email Sender Name” in “Email Survey Configuration”.

From there, you can update the sender name in all languages of the sequence.

Email subject

The field used to edit the email subject is located under the sender name, in “Email Subject”.

Attention: The shortcode {CUSTOMER_NAME | } is a custom field that automatically fills with the customer’s title and last name. Keep it even if you edit the subject line, to maintain personalization.

Email introduction text

This is where you edit the content the client receives in the email. To update the email content, click inside the text box and write your message. Updates appear in real time in the preview on the right.

You will find one editor per language in the sequence.

You can use the button with the star icon to automatically translate the default version into the other languages.

For text formatting, several options are available in the toolbar above the editor.

Shortcodes

If needed, click “Insert Shortcode” to use custom fields so information is filled automatically based on context, such as the client greeting and first name {CUSTOMER_FIRST_NAME} and the employee first name {EMPLOYEE_FIRST_NAME | }.

For example, you may see multiple shortcodes in your message:

  • The customer greeting and name, using {CUSTOMER_NAME | }

  • Your business name

  • The employee name, depending on the context of the send

Call to action (CTA button)

The call to action is the label that appears on the button in the email, for example “Leave my review”.

You can edit what appears on the CTA button. Below the email content text editor, locate “Email CTA Button Text”.

This is where you can update the CTA button label for the main language and the other languages in your sequence.
